We then recommend the simplest sensible approach, which may be a new build, an improvement to an existing platform, or an integration between systems. No. If your existing website, platform or workflow is fundamentally sound, we would rather improve or connect it than replace it unnecessarily. Two systems holding the same data is one system too many.

01 — The challenge

Listings lived in an external property platform, but the website version was maintained by hand. Prices, status and availability drifted apart within days of any update, and every correction was manual. The team was maintaining the same portfolio twice and trusting neither copy completely.

02 — Our approach
  1. Model the feed. We mapped the source feed against what the site needed to display, then agreed field by field which system owns which value. Most integration problems are ownership problems before they are technical ones.
  2. Build the import. A scheduled import pulls the feed, transforms it into the site content model and handles the awkward cases: partial records, media that arrives after the listing, and properties that vanish from the feed without being formally withdrawn.
  3. Make it safe to re-run. The import is diff-based and idempotent, so running it twice cannot duplicate listings and a malformed feed cannot wipe live content.
  4. Report on every run. Each sync logs what changed, what failed and why, so the team can check the state of their data without asking us.
03 — The outcome

Listings, pricing and availability now publish themselves from the platform the business already treats as its source of truth. Property data is maintained in one place instead of two. Client name withheld by agreement; reference available on request.

Bookings that reach the system the practice actually runs on.

01 — The challenge

Patients could book through the website, but those appointments were re-keyed by hand into the practice management platform. Every online booking created a second manual job, and any lag between the two systems surfaced as a double booking, a wrong practitioner or an appointment nobody had recorded.

02 — Our approach
  1. Map the real flow. We traced every route a booking can take, including phone, walk-in and front-desk changes, so the integration reflected how the practice actually operates.
  2. Build an integration layer. Middleware owns the mapping between the two systems: appointment types, practitioner availability, location rules and cancellation windows. Either side can change without breaking the other.
  3. Design for failure. External booking APIs time out and reject writes. Every request is queued, retried and logged, and anything that cannot be written raises an alert rather than disappearing silently.
  4. Automate the follow-up. Confirmations and reminders trigger from the practice platform as the source of truth, so an appointment moved at the front desk still sends the correct message.
03 — The outcome

Online bookings now write directly into the practice system and the front desk stopped re-typing appointments. Because availability is read from the platform rather than duplicated on the website, the practice can add practitioners and appointment types without a developer.
